What happens when the trial ends

The two possible outcomes

Every new organization gets 14 days of Ultimate on top of the Free plan. When that period runs out, exactly one of two things happens, and which one is decided by what is saved in Plan & billing.

If a card is saved and a paid plan was chosen during the trial, the first payment is taken automatically on the day the trial ends and the organization moves onto that plan. If either is missing — no card, or no plan chosen — nothing is charged and the organization returns to Free.

Returning to Free deletes nothing. Entries, projects, clients and reports stay where they are and remain readable and exportable; only the limits of the Free plan start to apply again.

What counts as a chosen plan

A plan is “chosen” once you have opened the checkout for it under Plan & billing — picked Team or Ultimate and gone through to the payment step. Keepr remembers that choice even if you close the payment form without finishing it.

The 14-day Ultimate you get at registration is not a choice: it is a trial laid over the Free plan, so it never on its own causes a charge. If you never opened the checkout, there is no plan to convert to.

If a payment you started during the trial was declined or cancelled, that choice no longer stands either — the trial ends on Free, and you can start a new checkout whenever you like.

The amount, and the emails before it

The amount is the chosen plan’s per-seat price multiplied by the number of active members in the organization on that day. Invitations nobody has accepted consume no seat.

Three days before the trial ends, and again one day before, we email the organization owner and every billing admin. The email says which of the two outcomes applies to you, and — when it is the charge — the date it will be taken.

After the payment you get a receipt by email, as with any Keepr charge, and the plan renews monthly from that date.

Making sure nothing is charged

Open Plan & billing in your organization settings. If there is no saved card there, nothing can be charged, whatever else is set.

Removing the saved card stops the conversion, and it also switches off automatic renewal for good. You can do it any time before the trial ends — the badge in the sidebar shows how many days are left.

That section is available to the organization owner and to billing admins.
