Setting up workspaces

What a workspace is

A workspace is the box your tracked time lives in. Projects, tasks, tags and time entries all belong to exactly one workspace; clients are shared across the whole organization, so two workspaces can bill the same client and that client’s hours still add up.

A workspace never moves between organizations, and its own time policies apply to everyone working in it. Most teams need one workspace per department or delivery unit — not one per client or project. Free includes one workspace, Team five, Ultimate as many as you like.

Finding the Workspaces page

There is no Workspaces item in the sidebar. Open the tenant switcher at the top of the sidebar — the button showing “Workspace” above your current workspace name — and choose “Manage workspaces” at the bottom of the menu.

The page lists every workspace with its Classification, Overlap and Concurrency policies, its status and a “Current” chip on the one you are in. Owners and admins get “New workspace” and the row actions; everyone else gets a read-only list they can still switch into.

Creating and editing one

“New workspace” and the row’s Edit action open the same dialog: an icon, a Name, and the three time policies. There is no slug field — the address is derived from the name when the workspace is created, and deliberately left alone when you rename it, so existing links keep working.

“Time-entry classification” decides how much detail an entry needs: “Optional”, “Project required”, or “Project + task required”. “Overlap policy” is either “Allow & highlight”, which saves overlapping entries and marks them amber on the tracker, or “Reject”, which refuses the save. “Timer concurrency” adds an “Inherit” option on top of the organization’s two, and inherit is the default.

A policy change that would strand somebody’s running timer is saved as pending rather than applied: the control keeps showing the rule in force with a “Pending” chip beside it, and re-picking the in-force option is how you cancel a pending switch.

Who can work in it

Owners and admins reach every workspace in the organization automatically. For everyone else, access is an explicit list, set when you invite them and changed afterwards on the Team page — click the Workspaces cell on their row, or use the Access tab of “Edit member details”.

A member must always have at least one workspace, so the picker will not let you save an empty selection.

Archiving, not deleting

Workspaces are archived and restored; there is no delete. Archiving takes the workspace out of the switcher and the active list while keeping every hour ever tracked in it, which is the point — deleting it would take the history with it.

Archive and Restore fire straight from the row menu without a confirmation prompt, so read the row before you click. An archived workspace cannot be renamed or re-policied until it is restored.
